1. Introduction
This Privacy Policy describes how Sayro ("we") collects, uses, and handles your personal data when you use our website, applications, and related services (collectively, the "Services"), and the choices you have. By using the Services, you agree to the collection and use of information as described here; if you do not agree, please do not access or use the Services. Capitalized terms not defined here have the meaning given in our Terms of Service.
2. Information We Collect
We collect the following types of information to provide and improve the Services. If you do not provide information when requested, some or all of the Services may be unavailable to you.
Account information. When you register and use the Services, we may ask for information that can be used to contact or identify you, such as your email address and name, plus anything else you volunteer.
Usage data. We may process information about your interaction with the Services — such as IP address, device type, browser type, system language, performance metrics, and the application used for dictation. This data is processed in real time to deliver the Services and is not retained on our servers; the only exception is when you voluntarily submit feedback, in which case we collect the diagnostic information needed to resolve the issue.
Your voice content. When you use Sayro, we process your voice audio along with limited contextual information (such as the app you're using and relevant text in it) to deliver accurate, context-aware transcription. Audio and context are processed in real time in a secure cloud environment and discarded immediately once the result is returned to your device — we do not store, log, or retain any of it. The only exception is feedback you choose to submit: with your explicit consent, we may collect the associated diagnostics and pseudonymized text or corrections to improve Sayro.
Third-party accounts. If you sign in with a third-party account (such as Google), we receive information from that provider identifying your account, per your permissions, to help you connect to the Services. Connecting is entirely optional, and you can revoke access from the third party at any time.
Payment information. When you purchase Paid Services, third-party payment processors (such as Stripe, Apple, or Google) collect and process your payment-related information (name, billing address, card details). Their handling of this data is governed by their own privacy policies.
Other information you provide. You may also choose to submit additional information, for example product feedback in surveys.
3. How We Use Information
We may use the information we collect for the following purposes:
• Service operation: to provide, maintain, improve, monitor, and protect the Services. Voice data and context are discarded after real-time processing; we use such content to improve Sayro only when you explicitly submit feedback or opt in to sharing corrections.
• Communication: to provide customer and technical support, send service-related emails, and send product news such as new features (you can unsubscribe at any time).
• Administration: for transactional, billing, account-management, and tax matters.
• Compliance: to comply with applicable laws and regulations, or with court or other legal orders.
• Risk mitigation: to detect and act on violations of our terms and to detect, prevent, and respond to fraud or misuse.
• Other: for other lawful purposes with your consent.
Our lawful basis depends on the type of information and the context: performing a contract with you, our legitimate interests (unless your rights and freedoms override them), your consent, or compliance with legal obligations.
4. Cookies and Analytics
We and third parties we work with may use cookies and similar technologies on our website to understand how it is used and improve the experience, and we may use third-party analytics services (such as Google Analytics) to analyze site traffic. We do not sell your data or use it to optimize ads for other companies. You can manage or disable cookies in your browser settings or install the relevant analytics opt-out add-ons.
5. Data Retention
Voice data and context: we operate a zero-retention policy. Audio input and contextual information are processed in the cloud in real time and discarded immediately once the transcription is returned to your local device. No voice recordings, transcripts, or screen-context data are stored on our servers; your dictation history is kept only on your own device.
Account and billing information: we retain account-related personal data (such as email address and payment records) only as long as necessary to provide the Services, meet legal obligations, resolve disputes, and enforce agreements.
Voluntarily submitted feedback: retained only as long as needed to resolve the matter, unless you explicitly consent to its use for improving Sayro.
Website usage data: basic analytics from our marketing website (e.g. page visits) may be retained for internal analysis; it contains no voice, transcription, or dictation content.
6. Data Transfers
Your information may be transferred to and processed on servers outside your state, province, country, or other jurisdiction, where data-protection laws may differ from yours. We take steps reasonably necessary to ensure your data is treated securely and in accordance with this Policy, and no transfer of your personal data takes place to an organization or country unless adequate controls, including data security, are in place.
7. Sharing With Others
We disclose personal data only in the following situations:
• Service providers: with vendors working on our behalf (payment, cloud, large-language-model, analytics, and communications providers). Your data is never used to train these third-party services and is configured for zero retention — no storage or use beyond the immediate processing required.
• Your employer: if a Sayro customer (e.g. your employer) gave you access to the Services, we may disclose certain account or device information to that customer to meet our contractual obligations.
• Protection of Sayro and others: to protect the rights, property, or safety of Sayro, its users, and the public, or to comply with applicable law, court orders, or governmental or regulatory requests, and to maintain and enforce our agreements and policies.
• Business transfers: in connection with a merger, sale of company assets, financing, or acquisition of all or part of our business.
• Affiliates: with our affiliates, who use personal data as set out in this Policy.
• With your consent: with other third parties when you expressly agree.
8. Security
We implement technical, administrative, and physical safeguards to protect the information we collect from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure; while we strive to use commercially acceptable means to protect your personal data, we cannot guarantee absolute security.
9. Your Data Protection Rights
If you are a resident of the EU or EEA, you have data protection rights under the GDPR. In certain circumstances, you have the right to:
• access, update, or delete the information we hold about you;
• have inaccurate or incomplete information rectified;
• object to our processing of your personal data;
• request that we restrict processing of your personal information;
• receive a copy of your personal data in a structured, machine-readable, commonly used format;
• withdraw your consent at any time where processing relies on it.
Email support@sayro.app to exercise these rights; we may ask you to verify your identity first. Note that we may be unable to provide the Services without certain necessary data. You also have the right to complain to your local data protection authority about our collection and use of your personal data.
10. Children's Personal Data
To use the Services, you must be at least 13 if you reside in the United States, or 16 elsewhere; users under 18 may need parental or guardian consent depending on where they live. If you are a parent or guardian and become aware that your child has provided us with personal data, contact us at support@sayro.app.
11. Service Providers
We may use third-party companies, vendors, and personnel to facilitate the Services, provide them on our behalf, or analyze how they are used. These providers may access your personal data only to perform tasks on our behalf and are obligated not to disclose or use it for any other purpose.
12. Links to Third-Party Websites
The Services may contain links to third-party websites or services. Their collection, use, and disclosure of your information is governed by their own privacy policies, not this one, and we are not responsible for their content or practices. We encourage you to read their privacy and security policies before providing information to them.
13. Changes to This Policy
We update this Privacy Policy from time to time and revise the date at the top when we do. If a change meaningfully reduces your rights, we will notify you (for example by email or a prominent in-Service notice), possibly designating a reasonable effective period. Changes are not retroactive. We encourage you to review this Policy periodically.
